Rate Bot: a quiet watch on your hotel bookings for a cheaper rate

A hotel is booked for a client in March and the stay is in June. In between, the rate for that same room moves. Sometimes up, sometimes down. Nobody on your team is going to search that hotel again every few days, so a drop usually goes unseen. That's a saving nobody ever claims.

Rate Bot does the searching for you. It is live in the operator console, where it carries a Beta label. This piece covers what it does, what you can set, and the steps that stay with a person.

What it watches

The bookings it watches are the confirmed ones and the ones held on pay later. Rate Bot starts off for each organisation. Once someone with access turns it on, a watch is added by itself after each hotel booking goes through, so nobody has to register bookings one at a time or remember to do it.

Two limits matter. It follows one room per booking, so a booking with several rooms isn't watched. And it is built for hotel bookings made from the integrated supply. If you want to know whether it covers a particular kind of booking, ask us before you count on it.

What counts as cheaper

An offer has to be the same product, not a lookalike with a lower price, so Rate Bot matches the hotel, the dates, the guests, the room, the meal plan and the refund type. Only then does it compare prices.

The comparison runs on the net rate, what you pay, and not on the price your client sees. You can set a minimum saving as an amount, as a percentage, or both. If either is met, it counts. Leave both blank and any saving at all will do.

Two other kinds of offer can show up, and both are labelled so you can't mistake them.

What you set

A scan only looks. It never books, cancels or touches a wallet, whatever the settings say.

When it finds a cheaper rate

An offer appears in the Rate Bot list with the hotel, the dates, the guests, the current room, both prices and the change. Open it and choose the rate you want to book.

Accepting is a real money step. The page says so plainly. Traviology books the new rate first, then cancels the old booking once. If the cancellation fails, both bookings can stay open until someone resolves it, and the offer is flagged as needing human attention. You tick a box to say you understand before the Book button works, and there is a dry run if you'd like to test the checks first.

Those checks matter:

  1. The old booking must still be refundable, and its free-cancellation deadline can't have passed.

  2. Check-in must be outside your stop window.

  3. For a confirmed booking, your wallet has to cover the new price, because the new price is charged before the refund for the old one arrives. A held booking charges nothing now.

The room is also searched again at the moment you accept. If it has gone, you're told to refresh and try again.

Who can use it

Out of the box, org admins and moderators can configure Rate Bot and accept offers, and viewers can look. A platform-level switch can pause it for everyone.

Before you rely on it

Rate Bot is live and labelled Beta. Nothing is booked or cancelled until you approve it. The hotels page on traviology.com is the place for the verified detail on what the hotel search covers.
